What is J-1 visa?

The Exchange Visitor Visa (J-1) is a non-immigrant visa issued by the U.S. Department of State that provides opportunities for international participants interested in traveling and getting professional experience in the United States.   There are many categories within the J-1 Exchange Visitor Program. The purpose of this program is to expose individuals from around the world to the culture and institutions of the United States and to foster a better understanding between nations on a variety of issues through educational and cultural exchange programs. The J-1 Exchange Visitor program invites foreign nationals to the United States to teach, study, conduct research, demonstrate special skills or receive on the job training for periods ranging from a few weeks to several years. Stanley Prep is a designated program sponsor for four of the J-1 categories: Intern and Trainee.

The standard timeline for evaluating J-1 sponsorship applications and issuing the DS-2019 form is approximately 20 business days from the date a fully completed application is submitted*. For applicants requiring a faster decision, we offer expedited services for an additional fee, which guarantees evaluation within five business days.

The DS-2019 is the official document verifying eligibility for the J-1 Visa under Stanley Prep’s sponsorship, but it is not a visa. Once an applicant’s program is approved and the DS-2019 is issued, they must schedule and attend an appointment at a U.S. Embassy or Consulate to apply for their visa. Applicants should account for embassy wait times and travel preparation when planning their application timeline. To ensure ample time for all steps, we recommend starting the process at least 2-3 months before the training start date.  Check the U.S. Embassy or Consulate in your city for visa appointment availability and processing times.

Individuals: Please submit an online individual application request with an application fee. A Stanley Prep staff member will review your request and send you instructions on how to complete your application online within 2 business days. Be prepared to submit official documentation which verifies your education and employment qualifications.

Host Organizations: Please submit your Host Organization application online.

Step 2: Application Evaluation

Stanley Prep reviews your completed application and provides a sponsorship decision within about four weeks. During this process, a Stanley Prep team member may contact you for additional information, arrange a phone interview, or coordinate a site visit to the host organization if needed.

Step 3: Approval + DS-7002

If we are able to approve the application, we will send the applicant and the supervisor an official training plan (DS-7002) form for filling out.

Step 4: Submit DS-7002

The applicant and the supervisor sign and submit the DS-7002 Training Plan.

Step 5: DS-2019 Issued

Stanley Prep processes and issues the DS-2019 within approximately two business days after receiving the signed training plan. The document is then emailed to the applicant, accompanied by essential arrival materials. Applicants will also receive detailed instructions via email on how to apply for the J-1 Visa in their home country.

Step 6: U.S. Embassy / Consulate Appointment

To schedule an appointment at a U.S. Consulate or Embassy, applicants must complete a DS-160 form and bring the original DS-2019 to their appointment. The approval and issuance of the visa are determined at the discretion of the consular officer. Processing times for visa appointments vary depending on the city and time of year, typically taking 2-4 weeks on average. It also covers the issuance of visa sponsorship documents, pre-arrival orientation, and resources to prepare participants for their U.S. experience. Additional services include maintaining the participant’s SEVIS record, ongoing support throughout the program, a 24-hour support hotline, guidance on filing tax forms, cultural events in major U.S. cities, and more.

All participants must obtain health insurance through Stanley Prep. We provide three individual coverage options: Standard Lite at $60/month, Enhanced at $100/month, and Family Lite at $120/month. J-2 accompanying family members can choose between Standard Lite for $60/month or Family Lite for $120/month.

The SEVIS I-901 fee is a federally required charge that funds SEVIS, an automated system monitoring exchange visitors in the United States. Stanley Prep pays this fee on behalf of the participant and provides a copy of the receipt. The original receipt will be sent directly to the participant’s home address in their country of residence a few weeks later.

Additionally, all J-1 Visa applicants must pay a $185 fee to the U.S. Embassy or Consulate when attending their visa interview.

First-time companies working with Stanley Prep, or those resuming after a hosting gap of three years, are required to pay a one-time orientation fee. This fee covers the review process to determine eligibility and suitability, ensuring your company meets the U.S. Department of State’s standards for J-1 Visa host organizations. The fee is non-refundable and must be paid by the host company, not the J-1 candidate. It ensures that companies fully understand their responsibilities as a U.S. host, including providing training, supervision, and overseeing evaluations completed by both the trainee and supervisor. Once a company successfully completes a training program—defined as a program where both mid-term and final evaluations are submitted as required—it is considered fully registered and eligible to host future programs.

Site visits are mandatory for companies with fewer than twenty-five full-time employees and annual revenues under $3 million. A host company can request an expedited site visit, which will be conducted within five days of submitting the application.

Everything You Need To Know

The International Career Development (ICD) program is designed for students to acquire relevant professional experience while participating in work opportunities in the U.S. ICD has helped many students to navigate their career options. Both programs are designed for overseas participants outside of the U.S. The main differences between the programs are the program duration and their eligibility. ICD: J-1 Intern is a 1-year program for currently enrolled university students or recent graduates, while ICD: J-1 Trainee is a 18-month program for those who graduated college more than 2 years ago or young professionals who had more than 5 years of working experience.
The approximate total processing time after submitting an application is four months. Typically, it takes three months to complete the visa and placement processes, two weeks for the visa interview, and two weeks to prepare for departure. Please make every effort to apply at least four months in advance of your intended start date.
The intention for the preliminary interview is for Stanley Prep to gain a clear understanding of the applicant’s professional goals, interests, and commitment to the program, as well as to assess the level of English proficiency. Interviews are conducted via video conference and the typical interview duration is 15-20 minutes. Applicants can expect questions that include but are not limited to, the following: self-introduction, the reason for interest, intention for the program, and plans after the program.
The Exchange Visitor Visa (J-1) is a non-immigrant visa issued by the U.S. Department of State that provides countless opportunities for international candidates looking to travel and gain experience in the U.S. There are 15 categories of the J-1 visa, one of which is the Intern category. This visa allows foreign students and recent graduates to train with a U.S.-based host organization for up to 12 months.
Each candidate must be interviewed in order to obtain a visa. Interviews are conducted at U.S. consulates in the home countries of the candidates. Once an applicant submits the required documents, including the DS-2019 and DS-160, the applicant can be interviewed. When making reservations for visa interviews, applicants must provide the program number stated on the DS-2019, as well as the SEVIS code.
During the visa application process, you must provide evidence that you will have adequate finances to cover your costs during your stay in the U.S. Though you may be earning money while in the U.S., the purpose of the J-1 visa is for cultural exchange, rather than generating income. Therefore, you must be able to show that you are not relying on the income from your host organization to support your living expenses while in the U.S. Financial proof includes bank statements, salaries, and the monthly income of the financial guarantor. If you are able, you can serve as your own financial guarantor. If not, you may list parents or legal guardians as financial guarantors. If your financial guarantor is someone other than yourself, be prepared to provide official documents verifying the family relation.
You may not work a second job during your ICD program. The J-1 visa for on-the-job learning allows participants to legally earn a wage only from the organization listed on the DS-2019 form. Participants cannot legally earn a wage at any other organization during their program, and would not be authorized to be at a workplace other than the one for which the program is approved, as indicated on the Certificate of Eligibility.
Participants of both ICD programs should carry a form of identification, as well as their I-94 at all times. Your I-94 can be obtained on the U.S. Customs and Border Protection website. The I-94 is the document that confirms participants have legally entered the U.S.
Participants who do not have a Social Security number/card will need to apply for one in order to be added to the host organization’s payroll. This does not necessarily mean that they must be issued the card before they begin working at the host organization. Participants can be added to their host organization’s payroll with a temporary number as long as they show the receipt of having applied for the Social Security card. Participants must give the host organization their Social Security number as soon as they receive it. ICD: Standard: If you are traveling to the U.S. on a J-1 visa, you will be required to carry medical health insurance for the full duration of your program. The U.S. Department of State has the following minimum J-1 health insurance requirements that your insurance plan must meet.
ICD: Standard clients can travel for up to 30 days outside of the U.S. with a valid and signed Form DS-2019. Your visa sponsor must sign off on your travel to avoid any issues with re-entry. It is important to discuss travel plans with your host organization and receive approval for time away from the office.
It is very important to exit the U.S. within the allotted grace period after your program has concluded. Staying even one day past the departure deadline can have detrimental effects on your standing with the U.S. government and may prevent you from being permitted entry to the U.S. for future visits. The grace period varies depending on your visa type.
