Juggling between finding a good visa sponsor and a good place to work at the same time is often daunting and time-consuming because you have to communicate with two different organizations that require different sets of regulations.

Do I get paid for my work?

You will need to pay for your housing, groceries, phone service, transportation and other necessities while you stay in the US.  While your primary purpose should be an internship, you still need to be able to support yourself during the program.

What is the J-1 Visa?

The Exchange Visitor Visa (J-1) is a non-immigrant visa issued by the U.S. Department of State that provides opportunities for international participants interested in traveling and getting professional experience in the United States.

There are many categories within the J-1 Exchange Visitor Program. The purpose of this program is to expose individuals from around the world to the culture and institutions of the United States and to foster a better understanding between nations on a variety of issues through educational and cultural exchange programs.

The J-1 Exchange Visitor program invites foreign nationals to the United States to teach, study, conduct research, demonstrate special skills or receive on the job training for periods ranging from a few weeks to several years.

Stanley Prep is a designated program sponsor for four of the J-1 categories: InternTraineeResearch Scholar, and Specialist exchanges.

    • Currently enrolled full-time and pursuing a Ph.D., Master’s Degree, or in their junior or senior year at a government-recognized degree- or certificate-granting post-secondary academic institution outside the U.S., OR

    • Graduated from such an institution no more than 12 months prior to the start of the ICD program

  2. Should be able to work a minimum of 3 weeks up to a maximum of 12 months.

 

Multiple J-1 internships can be completed if all requirements continue to be met and their collective duration does not exceed 12 months, OR 90 days have elapsed between programs.

ICD: J-1 Trainee
  1. Non-U.S. citizen

  2. Minimum 18 years old

  3. Proficient in written and spoken English

  4. Not restricted from traveling to the U.S.

  5. Minimum of 3.5 overall college GPA with following conditions:

    • A degree or professional certificate from a foreign, government-recognized post-secondary academic institution* and at least one year of related full-time work experience outside the United States, OR

    • Five years of work experience outside the United States in the desired training field

* Primarily vocational education may not qualify. Please contact us to discuss your education before applying.

  1. Training must be in your field of expertise

  2. Should be able to work a minimum of 3 weeks up to a maximum of 18 months.

 

Additional training programs can be completed if all requirements are met and at least two years of residency outside the United States follow the previous J-1 program.

Additional eligibility information
  • Applicants must demonstrate recent experience in the field for which they are requesting an internship or training experience.
  • Applicants must have related work or education within the six months prior to the program start date.
  • Applicants must intend to enter the United States solely for the purpose of internship or training; not to abandon non-immigrant status.
  • Applicants must not intend to change status while in the United States.
  • Applicants must be able to function in an English-speaking environment, during work and non-working hours. This must be verifiable via documentation from an educational institution, an English language test, or an interview with Stanley Prep staff.
  • Applicants who located their internship through recruitment agencies or other third-party organizations may not be eligible.

*Documents should be submitted in English.

General Guidelines

Stanley Prep is committed to providing a streamlined visa application process for all its clients.

 

The standard processing time for J-1 sponsorship evaluation and DS-2019 issuance is approximately 20 business days from the date a completed application is submitted*. Applicants who require a sponsorship decision in a shorter timeframe are encouraged to review our expedited services, which guarantee that your application is evaluated within five business days, for an additional fee.

 

The DS-2019 is the official document confirming J-1 Visa eligibility under Stanley Prep’ sponsorship. It is not a visa. Once an applicant’s program is approved and their DS-2019 is issued, they must then schedule and attend an appointment at the U.S. Consulate or Embassy to apply for their U.S. visa**. It is important to consider embassy wait times and the time needed to travel to the United States as you plan your application timeframe and arrival date. In light of this multi-step process, we generally advise beginning the application process at least 2-3 months in advance of the training start date.

* An application is considered complete once both the individual and host applications are received along with their required supporting documents. Please note that this process may take longer if we have not previously worked with the host company due to the on-boarding process for new hosts.

** This does not apply to Canadian citizens. Canadian citizens may use the DS-2019 for travel across the U.S. Border.

Step 1: Request + Submit Application
Individuals: Please submit an online individual application request with an application fee. A Stanley Prep staff member will review your request and send you instructions on how to complete your application online within 2 business days. Be prepared to submit official documentation which substantiates your education and employment qualifications.
 
Host Organizations: Please submit your Host Organization application online with your personal login information. If you do not yet have a login, your Stanley Prep contact can provide one for you, or we will provide you with access upon receipt of your participant application request. New host organizations may submit an application request here. A Stanley Prep staff member will review your request and send you instructions on how to complete your application online within 2 business days.
Step 2: Application Evaluation
Stanley Prep evaluates your complete application and issues a sponsorship decision within approximately 4 weeks. During this step, a Stanley Prep staff member may reach out with additional questions, to schedule a phone interview, and/or schedule a host organization site visit as necessary.
Step 3: Approval + DS-7002

If we are able to approve the application, we will send the applicant and the supervisor an official training plan (DS-7002) for review and signing.

Step 4: Submit DS-7002

The applicant and the supervisor sign and submit the DS-7002 Training Plan.

Step 5: DS-2019 Issued

Stanley Prep issues the DS-2019 within approximately two business days of receiving the signed training plan. It is then mailed to the applicant along with other important arrival documents. At this time, applicants are also e-mailed instructions on how to apply for the J-1 Visa in their home country.

Step 6: U.S. Embassy / Consulate Appointment

After making an appointment online, applicants attend an appointment at the U.S. Consulate or Embassy with the original DS-2019. Visa approval and issuance are at the discretion of the consular official. Visa appointment and processing wait times vary by city and time of year. On average, this process takes 2-4 weeks. Up-to-date information can be found on the U.S. Department of State website.

3. Sign and submit the Training Program Agreement
  • This agreement is provided by your agent.
7. Begin matching process
  • You will be given access to our Host Organization Database and be able to apply to companies of interest
  • You will be notified when a potential match has been identified
8. Participate in a second interview, if necessary
  • A second online interview may be conducted upon request of the host company
9. Final acceptance letter issued
  • If placement is unsuccessful, the program fee will be refunded

Both programs are designed for overseas participants outside of the U.S. The main differences between the programs are the program duration and their eligibility. ICD: J-1 Intern is a 1-year program for currently enrolled university students or recent graduates, while ICD: J-1 Trainee is a 18-month program for those who graduated college more than 2 years ago or young professionals who had more than 5 years of working experience.
The approximate total processing time after submitting an application is four months. Typically, it takes three months to complete the visa and placement processes, two weeks for the visa interview, and two weeks to prepare for departure.  Please make every effort to apply at least four months in advance of your intended start date.
The intention for the preliminary interview is for Stanley Prep to gain a clear understanding of the applicant’s professional goals, interests, and commitment to the program, as well as to assess the level of English proficiency. Interviews are conducted via video conference and the typical interview duration is 15-20 minutes. Applicants can expect questions that include but are not limited to, the following: self-introduction, the reason for interest, intention for the program, and plans after the program.
Though this interview will be conducted online, candidates should treat this interview as they would any other. It is important to dress professionally and be prepared to discuss your qualifications. Candidates should be prepared to address the following, among other questions: self-introduction, the field of study and relevant experience, the reason for applying to this host organization in particular, and motivation for getting work experience in the U.S.
Stanley Prep will provide up to three matches, if necessary. We make every effort to accommodate the client’s preference for the first two matches. If the interview is not successful for the first two matches, the final match is made with the host organization that Stanley Prep has determined to be the best option for the client. If the third match is not successful, the matching process is discontinued and the client is issued a refund in accordance with the refund policy detailed in the Client Agreement.
If you have any issues with your host organization, you must contact Stanley Prep to discuss your concerns. Your concerns may have legal implications or simple solutions, but it is important to let us know. If the concerns have serious potential consequences, Stanley Prep will work with you to resolve the issues immediately. In such cases, Stanley Prep will re-match you with another host organization at no additional cost. If the concerns are associated with your personal preferences, Stanley Prep is unable to provide re-matching services.
The Exchange Visitor Visa (J-1) is a non-immigrant visa issued by the U.S. Department of State that provides countless opportunities for international candidates looking to travel and gain experience in the U.S. There are 15 categories of the J-1 visa, one of which is the Intern category. This visa allows foreign students and recent graduates to train with a U.S.-based host organization for up to 12 months.

In order to obtain a J-1 visa, you must first sign the Training/Internship Placement Plan (DS-7002). You will then be issued a Certificate of Eligibility (DS-2019) form. This is a legal document that entitles and authorizes you to participate in on-the-job learning in the U.S. and to receive wages for such activity. The DS-2019 is null and void if you do not obtain a J-1 visa from a U.S. embassy or consulate for entry to the U.S. The application for the J-1 visa can only be made once the DS-2019 has been issued and you have submitted the Online Nonimmigrant Visa Electronic Application (Form DS-160).

Each candidate must be interviewed in order to obtain a visa. Interviews are conducted at U.S. consulates in the home countries of the candidates. Once an applicant submits the required documents, including the DS-2019 and DS-160, the applicant can be interviewed. When making reservations for visa interviews, applicants must provide the program number stated on the DS-2019, as well as the SEVIS code.

The purpose of the visa interview is for the U.S. consul to determine your intentions for your stay in America. The consul will want to confirm that you are a proficient English speaker, capable of participating in cross-cultural activities and, therefore, contributing to the U.S. The consul will make sure that your intentions for traveling to America align with the J-1 visa and will want to ensure that you will follow legal protocol associated with your visa, especially when it pertains to returning to your home country upon your visa’s expiration.
During the visa interview, you should be prepared to discuss your interests and intentions. You can expect to be asked questions about your reason for traveling to the U.S., your field of study, whether you have ever traveled to the U.S. before and/or have relatives in the U.S., what type of work you will be doing during your stay, and what your plans are following the program.

During the visa application process, you must provide evidence that you will have adequate finances to cover your costs during your stay in the U.S. Though you may be earning money while in the U.S., the purpose of the J-1 visa is for cultural exchange, rather than generating income. Therefore, you must be able to show that you are not relying on the income from your host organization to support your living expenses while in the U.S. Financial proof includes bank statements, salaries, and the monthly income of the financial guarantor. If you are able, you can serve as your own financial guarantor. If not, you may list parents or legal guardians as financial guarantors. If your financial guarantor is someone other than yourself, be prepared to provide official documents verifying the family relation.
You may not work a second job during your ICD program. The J-1 visa for on-the-job learning allows participants to legally earn a wage only from the organization listed on the DS-2019 form. Participants cannot legally earn a wage at any other organization during their program, and would not be authorized to be at a workplace other than the one for which the program is approved, as indicated on the Certificate of Eligibility.
Participants of both ICD programs should carry a form of identification, as well as their I-94 at all times. Your I-94 can be obtained on the U.S. Customs and Border Protection website. The I-94 is the document that confirms participants have legally entered the U.S.

ICD: Standard: You must also carry your DS-2019. The DS-2019 is the document that confirms that participants are in the U.S. legally on a J-1 visa, and entitled to be at a workplace on a J-1 program. Therefore, it is important that participants have both the I-94 and DS-2019 documents with them at all times so they are able to prove they are legally in the U.S. on a J-1 visa if any issues arise.
ICD: Short: B-1 participants coming to the U.S. from countries not participating in the Visa Waiver Program must carry their passports with them, as the B-1 visa is electronically linked to the passport.

Participants who do not have a Social Security number/card will need to apply for one in order to be added to the host organization’s payroll. This does not necessarily mean that they must be issued the card before they begin working at the host organization. Participants can be added to their host organization’s payroll with a temporary number as long as they show the receipt of having applied for the Social Security card. Participants must give the host organization their Social Security number as soon as they receive it. For information pertaining to applying for a Social Security number/card, please refer to the Social Security website.
ICD: Standard: If you are traveling to the U.S. on a J-1 visa, you will be required to carry medical health insurance for the full duration of your program. The U.S. Department of State has the following minimum J-1 health insurance requirements that your insurance plan must meet:

Medical Benefits ($100,000), Repatriation of Remains ($24,000), Medical Evacuation ($50,000), Deductible per Accident or Illness (not to exceed $500)
You may select and purchase your own insurance or you can obtain the insurance provided by Stanley Prep at a competitive price. An average insurance fee that has the required coverage is approximately $80 per month. Please contact Stanley Prep if you are interested in learning more about the insurance we provide.
ICD: Short: clients are not required by the U.S. government to obtain insurance. However, it is strongly recommended to obtain traveler’s insurance before entering the U.S. Please inquire at a local insurance agency.

ICD: Standard clients can travel for up to 30 days outside of the U.S. with a valid and signed Form DS-2019. Your visa sponsor must sign off on your travel to avoid any issues with re-entry. It is important to discuss travel plans with your host organization and receive approval for time away from the office.

Due to the abbreviated nature of the program, ICD: Short clients are encouraged to stay in the U.S. for the duration of the program, barring any emergencies.

It is very important to exit the U.S. within the allotted grace period after your program has concluded. Staying even one day past the departure deadline can have detrimental effects on your standing with the U.S. government and may prevent you from being permitted entry to the U.S. for future visits. The grace period varies depending on your visa type.

ICD: Standard: You must exit the U.S. within 30 days of your program conclusion.
ICD: Short: Clients using an ESTA visa waiver are able to stay in the U.S. for a maximum of 90 days after entry. Individuals with B-1 visas who have arrived in the U.S. from a country not participating in the Visa Waiver program can stay in the U.S. for a maximum of 180 days after entry.
